The problem

Ask any small company how to do the thing only one person knows how to do, and the answer is “go ask them.” They're on vacation. The vendor quirk, the decision from last quarter, the document you worked on in March — it's all in heads, folders, and inboxes, which means it's slow to find and one resignation away from gone.

What runs

Mine works like this:

My go-to: “what were my tasks from yesterday's meeting?” Pulls up any document by asking — no folder digging Updated continuously, mostly by machines

The honest part

The way I actually use it: every morning in my planning session I ask it what my action items were from the day before — because my meetings drop into the wiki automatically, the list is already there. And when I need a document I worked on, I don't dig through folders or email anymore; I just ask the wiki to pull it up. This is the least flashy thing on this page and the most important — documentation isn't bureaucracy, it's what makes every other win permanent. It's the third step of our method (The System), pointed at my own company first.
